Inviting and managing members
How to bring athletes and staff into your team, approve requests and manage roles and permissions. A guide for coaches.
The "Invite new users" page
Everything happens in More → Settings → Invite new users. When there are requests waiting for you, the menu item shows a counter. The page brings together five sections: pending requests, invite link, team code, "To link" and "Rejected".
Invite link
The invite link is universal: it works for both athletes and staff, because everyone picks their own role when they sign up. You can create it with no expiration or valid for 7, 30 or 90 days, and you can revoke it or delete it for good at any time.
Team code
The team code is a persistent 6-character code: anyone who signs up as an athlete or staff member can join by entering it in the app. It stays the same until you regenerate it. The buttons below the code let you copy it, share it or regenerate it.
Approving requests
Anyone who joins with the link or the code stays pending until you approve them: you get a notification and the request appears at the top of the page, with the profile the person declared (role, date of birth, jersey number…). Tapping Approve gives you three options:
- Create new profile — the app creates the player (or staff) profile in the roster using the details declared at sign-up.
- Link to existing profile — if the person is already in the roster, you link their account to the profile you had created yourself.
- Approve only — the person joins without a profile: you can link them later from the "To link" section.
With Create new profile and Link to existing profile, as soon as you confirm, the newly created or linked player or staff profile opens right away, so you can check and complete the details on the spot. Approve only and the other actions ask for an explicit confirmation before going ahead.
Either way, as soon as you approve, the person enters the app automatically. With Reject, the request goes to the Rejected section instead.
To link
Here you'll find athletes and staff who are approved but have no profile in the roster. The "Profile" button opens the same dialog as before: create a new profile or link the existing one.
Rejected
Rejected members (and those whose access you revoked) stay in this section: you can reinstate them at any time with "Approve". Anyone who was rejected can also come back on their own by entering the team code again: you'll receive a new request.
Members and permissions
In More → Settings → Members and permissions you manage the people who are already in.
Feature permissions: who can use what
From version 2.0, permissions are fully customizable. The founding coach — and only them — decides who can use each of the team's nine features, from Settings → Members and permissions → Feature permissions:
- Creating events
- Uploading documents
- Uploading videos
- Scouting
- Attendance and absences
- Roster management
- Creating polls
- Weight training plans
- Physical tests
For each feature you choose who is enabled, among four options:
- Everyone — coach, staff and athletes;
- Staff only — coach and staff;
- Specific roles — only the roles you pick, both staff and court positions (you can, say, enable scouting for liberos only);
- Specific people — only the people you pick, one by one.
The founder always has access to everything and is the only one who can assign permissions. Anyone who tries to use a feature they're not enabled for sees the "Not authorized" screen, inviting them to ask their coach to enable them.
Actions on individual members
From the menu next to each member (except the founder, who can't be modified) you can:
- Make staff / Make athlete — changes the person's role.
- Unlink profile — detaches the account from the roster profile, which stays in the roster.
- Revoke access — the person leaves the team and goes back to the code page; their profiles are unlinked but stay in the roster. If they enter the code again, you'll receive a new join request.
- Block permanently — the person leaves and can no longer send join requests.
Blocked members appear in the Blocked section: with "Unblock" they go back among the rejected and can rejoin with the team code.
The "It's you" badge
The roster profile linked to your own account is easy to spot thanks to the green "It's you" badge, both in the team list and in the profile details. And the coach who creates the team already finds their own "Head coach" staff profile automatically linked to their account: nothing to set up.
